Contacts & campaigns

Group your contacts into segments, design an email, and send it. Every send is checked against each contact's consent record first.

Contacts

Optcatch → Contacts lists every contact with consent status, consent timestamp, source, emails sent and tags. Filter by segment, source and consent. Contacts are unlimited on every plan.

New contacts arrive from your forms (see Capture & forms) or from a CSV import or manual entry.

Segments

Optcatch → Segments builds a live filter and shows the number of matching contacts before you save. Saved segments are unlimited. Filter by:

  • Consent status: Opted-in (captured from a site form with the consent box ticked) or Customer-declared (imported with confirmed permission). Unsubscribed contacts are always excluded.
  • Source: Captured (from a form on your site) or Imported (CSV).
  • Tags: such as “VIP”, “Wholesale” or “Customer”, set on import or in contact management. Contacts from Contact Form 7, WPForms, Elementor Pro Forms and Gravity Forms are tagged with their form plugin automatically, so you can segment by form plugin.
  • Name, email or phone containing a word you type.
  • Signup date.

Templates and the Email Studio

Optcatch → Templates is your library of reusable designs.

  • Six starter presets: welcome, newsletter, product launch, follow-up, re-engagement and personal note.
  • Your own templates: unlimited. Click Create New Template, or Customize in Studio on a preset, and design it in the visual drag-and-drop Email Studio with header, buttons, social links and simple formatting.
  • Duplicate a template to make a variation.

Personalization tags

Use these in the subject or body; each is replaced for every recipient:

TagReplaced with
{{first_name}}Recipient's first name
{{last_name}}Recipient's last name
{{email}}Recipient's email address
{{company}}Your company or site name
{{unsubscribe_url}}Personal one-click unsubscribe link

Pro template library Pro

Optcatch Pro adds six more ready-made designs. See Pro template library.

Create and send a campaign

  1. Go to Optcatch → Campaigns.
  2. Enter a Campaign Name (internal, for reporting) and an Email Subject. Tip: {{first_name}} in the subject often lifts open rates.
  3. Choose the Audience Segment. The screen shows how many consented recipients it has.
  4. Choose the Email Template. You can preview it on desktop and mobile, or open it in the Studio.
  5. Under Delivery Timing, choose Send Immediately.

“Send Immediately” means the campaign starts going out then, not that every recipient gets it at that moment. Sending is paced by each account's daily limit and sending speed and rotates across your enabled accounts, because a sudden burst of email is a spam signal to Gmail and Outlook.

Scheduled and automation sends Pro

Pick the exact date and time a campaign goes out, or let a campaign send itself a set number of days after someone is captured. See Scheduled & automation sends.

Follow delivery

Optcatch → Dashboard shows campaign activity, a live sending feed, per-account sending status and recent campaigns, with sent / failed / skipped counts per campaign and per sending account. The campaign list also shows recipients that were skipped because they were no longer recipients when their turn came (unsubscribed, deleted or removed from the segment).

Unsubscribe handling

  • Every email carries a one-click unsubscribe link and List-Unsubscribe headers. Keep {{unsubscribe_url}} in your template footer.
  • When a contact unsubscribes, their status changes to unsubscribed with a timestamp, and they are excluded from every future send.
  • Every send checks a positive-consent allowlist and excludes unsubscribed contacts, always. Unsubscribe status survives re-imports.
  • Every email also includes a plain-text version, with the unsubscribe link, next to the designed HTML version.
